I have a small finance business where I provide short term loans to customers. I have approx 100 customers and was previously keeping record of everything on excel but would now like to upgrade and have a database online.

I employ 2 agents to help with debt repayment so they would also need log in access.

requirements:

1. Master login to add payments/cash given out on behalf of agents
2. upload cvs for payments/cash given out
3. Agent reports (forcasted collections against actual collections)
4. Add/Remove/Edit Agents
5. add/remove/edit new customers
6. view customer specific reports with graphs (weekly, monthly, end of year, to date)
7. front page dashboard showing total existing customers, how many debtors over one month old, total cash to bank, total payments,total cash given out)
8. Agent (restricted) login access to add payments/cash given out
9. one click backup of financial year, and refresh database for start of new year
10. report to monitor performance against same time previous year.

There will obviously be a few extra things along the way so if we can agree on a fair price to get started i’m happy to negotiate extras, and will of course be happy to pay for regular database maintenance.

Our suppliers keeps a file in .xls or CSV format in a password protected directory that is updated every day and is periodically assigned a new password to access it. The products in the list and in our product database need to be synchronized every day to disable discontinued products and adjust price changes that take effect from the .xls or CSV file. We also will have a margin table lookup file that will have to be cross referenced in order to determine the correct pricing. Below is an example of the process:
Get file from supplier directory -> Apply prices based on margins set in lookup file -> Set prices accordingly and disable discontinued items in Magento Cart.

Example 1: After automatically logging in and moving the .xls or CSV file to our server, the synch process should begin. A product is listed in the .xls or csv file, and has a base price set at $ 19.99. It has a product number of ‘123456′. The product has a manufacturer code of ‘123′. During the synchronization, the script should analyze the manufacturer, then cross reference with our margin table by manufacturer code, (for this example manufacturer code ‘123′ has a markup of 15%.) It would then apply the markup to the base price and set the price of the product on Magento Cart at $ 22.99 (rounding up to the nearest $ 0.99). It would then move to the next product.

Example 2: The script comes across a product in the .xls or csv file with a note that says ‘DISC’. It would automatically disable the product in Magento Cart.

III. Important Fields:

Supplier .xls file –
SUPPLIER_NUMBER = the identifier for a specific manufacturer, which will be used to apply margins
STOCK_CODE = this identifies the product within the MagentoCart product database
SELLING_PRICE = this is the base price that will be adjusted by the margin lookup file
DISCONTINUED = if blank, this product is still current. If it contains the value ‘DISC’, it should be taken off of the site
NOTE: If there are any products that are on the .xls sheet, but not in the Magento Cart already, it should output them into a single .xls file

Margin Table Lookup File –
SUPPLIER_NUMBER = the identifier for a specific manufacturer, which will be used to apply margins
MARGIN = This will be a number between 0-100 that will determine what needs to be added to a product.
(equation: roundtonearest99cents(baseprice x 1.(MARGIN)) = newprice)
NOTE: The Margin Table Lookup File only contains Suppliers and their margins. Individual products will not be included in this file.

IV. Multiple Supplier Integration:

This project also needs to be expandable to other suppliers that we have, so that changes can be made to files or settings in the Magento Cart admin.

For the admin, we want to have an extra field for each product that lets us select the supplier of that product from a dropdown menu. Each product is assigned to a particular supplier. This is the supplier which will then get an email once that particular product has been bought. It should be simple to change the supplier if we buy the same product from another supplier. When importing products should be automatically assigned to the supplier of the products uploaded.

There should be a list of the Multiple suppliers which you can click to get to the product list of the particular supplier.
There should be a list of manufacturers which you can click to get to a product list of the manufacturer.

Manual Pricing Options to be added to the Admin: Ability to manually override the Price on each product or en mass by checking all products for a supplier

1. Flat Dollar Amount Markup: For this option – the dollar amount to add to your wholesale cost for all products for a flat dollar amount profit margin.

2.Flat Percentage Markup: For this option – the percentage to use for all of your products to add to the cost. For example, if your margin is 30% and a product costs $100, your retail price will be set at $130.

3. Dollar Amount Markup: the dollar amount settings based on the wholesale cost of the item. The cost tiers to use and the price markup you want to associate with each tier. For example, from $0-20 add $5, from $21-50 add $11, and so on.

4.Tiered Percentage Markup: Tier your percentage settings based on the wholesale cost of the item. The cost tiers to use and the percentage markup you want to associate with each tier. For example, from $0-20 add 50%, from $21-50 add 45%, and so on.

5.MSRP Pricing: Base the pricing relative to the MSRP of each product. You can specify a dollar amount or percentage to discount from the MSRP, or you can have your pricing set to the actual MSRP. Include any discount below that price if you want one.

Admin can create deal by filling starting date, duration of the deal (in hours, could be more
than 24h), price/number of buyers required, original price, minimal number of groupons and
other fields as described in “Visitor can see a today’s deal”. Optionally Youtube link could be
provided. Scheduled deal will be shown at “Today’s deal” page on provided date. Admin can
manage list of deals, cancel scheduled or active deals.

Visitor can sign in.
Email (to use as login) as well as Paypal email, if differs. User has option to subscribe to “Daily
alerts”

Visitor can sign in using Facebook connect.
Same as “Visitor can sign in”, but Facebook connect is used to populate user profile.

Visitor can log in using Facebook connect.

groupons is shown. User can still buy groupon if deal is open/active.

User can buy groupon.
On pressing “Buy” button user is directed to confirmation page, where in “Your purchase” area
there are title of groupon, editable quantity, groupon price and total.
In “Payment” area there are list of Ccs set in profile to use, also “Cardholder Name”, “Card
Number”, “Security code”, “Expiration date”, “Billing address”, “City”, “State/province”, “Postal
code” to provide new CC number.
In “where would you like us to send your receipt?” area there is a “email” field.
There are “Complete my order” button and “Never mind” link. On pressing “Complete my order”
button groupon is assigned to user. If new CC was specified, it is added to user profile.

Visitor can buy groupon and sign in at the same time.
Same as for “User can buy groupon”, with addition of “Personal information” area with “Full
name”, “Email”, “Password”, “Password confirmation”, to autocreate new account on “Complete
my order button”

User can view/edit her profile.
On user profile page there are avatar image, name, list of email addresses (manageable), password,
time zone and manageable list of Ccs. Ccs fields are same as for “User can buy groupon”.

User can view/manage her groupons.
User is presented list of groupons, with “Title”, “Price”, “Status” fields. User can sort list by any
field. User can cancel groupons with “Ordered” status.

User can print coupon associated with specific purchased groupon.
By clicking on groupon with “Purchased” status user is presented with a view of coupon and
“Print” button. Pressing button results in printed coupon. Printed coupon must have tracking ID
(most likely hash based on a user profile) and unique serial number on it to prevent naive abuse.

Users are charged for ordered groupons when countdown reaches zero and total
number of ordered groupons is not less then necessary minimum.
Ccs provided for purchase are charged, corresponding groupons get “purchased” status and links to
print coupons. Purchase notifications are sent to provided email addresses. For past deals which are
still active user is charged immediately.

Ordered groupons are canceled if countdown reaches zero and total number of
ordered groupons is less then necessary minimum.
Cancellation notifications are sent to provided email addresses.

User can share a deal on Facebook/Twitter

Admin can view a printable list of purchased coupons for specific deal
A list of tracking Ids for specific deal, handed to the Merchant for the purpose of preventing abuse.

Application sends “Daily alert” email based on template once per day
Users who subscribed to “Daily alert” will get notifications as new deals are added.

This work will require installation and modification of the design that the client wants.
