This is a very easy way to track your to-do lists as well as create meeting agenda cards!

Purpose

I needed a way to reduce phone calls and fruitless emails from my clients wanting progress updates.
Typically I juggle up to 6 clients at a time, plus my CodeCanyon projects; Organization is mandatory for all this to work smoothly.
I used to keep my To Do lists and meeting agendas on “the white board” and 3×5 index cards – which worked well [for me] until I would forget to bring them to the meeting – or forget which client the card or note was for. So I started tracking this on my Xoom tablet. Not bad, but I was the only one who could use it. I wanted a way to show my clients where I was on their project and allow them to add to the to-do list and meeting agenda without having to contact me – inevitably “To Do|ne” was born.

To Do|ne Lists

Very intuitive and user friendly interface.
Click the title to expand the box – double click the description to edit.
Hover your mouse over the “Requested By”, “Assigned To”, “Status” and/or “Priority” to change them.
The little red “x” does as you would think; it deletes the To Do.
As I said, easy and intuitive; It has to be – some of my clients struggle to use email effectively!!

Meeting Agendas

The design and layout are from my actual agenda cards – organized and perfected over years of use and experience.
Double click the title, description and/or conclusion to edit.
Click the exclamation mark at the top of the card to note its importance.
If the card was brought to topic in the meeting mark the card as acknowledged.
If the issue at hand was approved or declined, mark it respectively.
The red “x” does the expected – it deletes the card.

Most Importantly – My Clients Love This

I have used this on my last 5 clients projects – I explained to my client how to use it and everyone of them loved it!!
My clients love the fact that they can add to the To Do list – either for themselves or my company to do. They love the ability to see what they need to do before we can move to the next step in the project.
We all love the fact that my clients can see what’s been done and what’s left to do without having to call. If I’m chatting on the phone – I’m not getting work done!
One client convinced me to leave it in place so they could use it internally – that’s when I decided it was a good candidate for CodeCanyon.

The demo

The demo is crippled so people cannot jack up my database. The demo emulates saves and deletes – but does not actually change the database.

With the exception of the multilingual tests, the to-dos and agenda cards are real-world. I simply removed the ones with personal info in them and cleaned up the rest – so you can see how we used it to track the progress of the build – in this case a custom eCommerce shopping cart.

Extended Stay

This is not intended to remain on a live website unless secured with htaccess!!
You can leave the database intact and delete the files, if you do not use htaccess.
In the future if you do more work for the client, re-upload the files and reconnect to the database to pickup from where you left off.

Next Version

This is a script I use on a daily basis. I will be adding more functionality to this as time goes on. Some Ideas I have in store:
File Upload functionality
Full logging of all changes
Whether “to do” is something that needs to be charged for or if its included in quote.
Change request form ie: formal/billable changes to the project that are above and beyond whats outlined in the scope document.
