We are looking for a company to write a faxing system for a client of us.
Features needed:
1) DB management: We have about 50.000 fax numbers that we need to input into the system’s DB, each contact has a fax number and is part of one or more categories (the categories are kind of professions). We would like to keep this DB up to date with the program.
If a contact doesn’t want to recieve any more faxes, we need to able to click on a checkbox to exclude this number from future fax boradcasts.
There should be a field on which it records when the last fax was send to that contact.
If a certain number keep failing to sent faxes too, it also should be marked when the last failed fax attempts were, so we can check if that number is still valid.
If we want to add another contact it should be check if the fax number is unique in the system, we don’t want to enter duplicate numbers into the system.
2) Sending Faxes: We want to be able to send a fax to all numbers in a certain category. Or multiple categories. Double numbers should only be faxed once.
For example if we want to send faxes to categories AAA + BBB + CCC, but there is a contact that is part of all three categories, he only should receive 1 fax and not 3.
3) Fax machines: Faxes should be send through already existing faxes (Hewlett Packard All-In-One 5610). One fax at a time, next fax may be sent when previous one has gone through.
Like said before, when a number fails (unsuccesful attempt at faxing) it should continue with the next fax and remember the number that failed.
– We would like to have the option to send a PDF file OR a piece of paper that we put into our faxmachine (Hewlett Packard 5610).
– The program should use an open DB structure, or if posssible an Excel datasheet for easy acces.
– We want to be able to limit the amount of faxes that will be send. (For example, we want to fax all members of certain group, but only the first 300)
– We want to be able to limit the day-times that faxes will be send. – For example, we want to fax all members of certain group, but faxing should stop at 18:00 PM)
– We want to be able to ‘plan’ faxes. For example: At 9:00 AM start faxing EXAMPLE.PDF to the following numbers: ….
– After a fax broadcast is done, we should recieve an overview of the succesful faxed, failed faxes, … This overview should also be mailed to an email address.
– Each day a backup should be made and 1) should be uploaded online on an FTP server and 2) should be placed onto a location on the computer, we also want to keep the backups for the last 14 days.
This program can be written into any programming language, it should work with Windows XP and Windows 7. It’s important that it works without errors and not slow.
This program also should be very user friendly!! It will be operated by unexperienced computer users.
